It is important to review this policy thoroughly prior to reserving a yacht. When you secure a rental with OpenMeadowCollective, you consent to this refund policy.

Standard Cancellation and Refund Schedule

More than 72 Hours Before Charter

100% Refund

Eligible for: Complete refund except for service charges

Processing Time: 5-7 business days

Processing Fee: £50 for transactions via credit card

Conditions: Submission required in written format through email or telephone

24-72 Hours Before Charter

50% Refund

Eligible for: Refund amounting to half the total cost of the charter

Processing Time: 7-10 business days

Processing Fee: £25 subtracted from the refund amount

Conditions: A valid justification is mandatory; operational costs must be paid

Less than 24 Hours Before Charter

No Refund

Eligible for: No possible refunds

Exception: Consideration for emergencies on a case-by-case basis

Alternative: Option of a credit towards chartering, given at the discretion of the company management

Conditions: Emergency occurrences must be supported with documentary proof

Weather-Related Cancellations

Our Weather Guarantee

Ensuring safety remains our paramount concern. If the weather is judged non-navigable by our certified captain, we offer the following alternatives:

  • Full Refund: A complete refund if rebooking isn't feasible
  • Reschedule: The opportunity to change your booking to a later available date at no extra expense
  • Charter Credit: A voucher valid for one year from the initial charter date

Weather Assessment Process

Our evaluation of weather includes:

  • An analysis of wind speed and its direction
  • Assessing wave height and maritime conditions
  • Forecasts regarding visibility and precipitation
  • Notifications from the Coast Guard and any advisories
  • A professional assessment of safety by the captain

Decision Timeline: Resolutions on weather-related cancellations are made at a maximum of 4 hours prior to the set sail time.

Medical Emergency Refunds

Emergency Circumstances

Compassion is shown for medical urgencies. The following scenarios may be eligible for special consideration:

  • Unexpected medical conditions or accidents requiring immediate hospital care
  • Bereavement within the closest family circles
  • Unexpected military services or mandatory recalls
  • Summons for jury service or legal obligations
  • Major calamities affecting travel capabilities

Documentation Requirements

To process requests in case of emergencies, the following evidences are needed:

  • Proof of medical situation or hospital admission records
  • Official death notification for applicable situations
  • Government orders for military duty
  • Official summons for legal proceedings
  • Public notices or declarations of emergency related to travel

Processing: Refunds in emergencies are managed within 3-5 business days once the necessary proofs are received.

Operational Cancellations

Mechanical Issues

If the selected vessel encounters unresolvable mechanical issues:

  • Alternative Vessel: We will make an effort to supply a comparable replacement vessel
  • Full Refund: If no suitable replacement is found
  • Partial Refund: If there is a discrepancy in pricing with the replacement vessel
  • Compensation: Possible additional compensation for any inconvenience caused

Crew Unavailability

On rare occasions when certified crew members are unavailable:

  • We will attempt to make alternative crew arrangements if feasible
  • A complete refund is offered if the charter is unable to proceed
  • Rescheduling the charter at no added charge

Refund Processing

Payment Method

Refunded amounts are returned using the original payment method utilised for the charter:

  • Credit Cards: Within a span of 5-7 business days
  • Bank Transfers: Spanning 7-10 business days
  • Cash/Cheque: Range of 3-5 business days

Processing Fees

Credit Card Processing

A £50 fee applied on cancellations with notice beyond 72 hours prior

Bank Transfer Processing

A £25 charge on all refund transactions via bank transfer

International Processing

Additional charges may be levied for international refund transactions

Charter Credits

When Credits Are Offered

Credits toward future charters may be extended in lieu of refunds under certain circumstances:

  • Late withdrawal from charter within 24 hours of start
  • Charter cancellations stemming from adverse weather
  • Elected changes in charter scheduling
  • Service disruptions

Credit Terms

  • Validity: 12 months from the date of issuance
  • Transferability: Restricted to original clients without transfer rights
  • Value: Equal to the full cost of the charter, devoid of any administrative fees
  • Usage: Applicable towards any future charters that are open for booking
  • Expiration: Credits must be used within the 12-month period, no extensions offered

Partial Service Refunds

Service Interruptions

In the event that your chartered time is curtailed or disrupted due to our operational factors:

  • Refunds portioned based on the unutilized charter duration
  • Voucher for a future charter of commensurate value
  • Complimentary upgrades or additional services

Guest-Related Interruptions

If a charter is prematurely concluded due to guest misbehavior or breaches in safety protocol:

  • Non-refundable for the remaining period
  • Full fee is still due and payable
  • Extra costs may be incurred

Dispute Resolution

To challenge a decision regarding a refund, one may:

  • Request an examination by our administrative group
  • Submit supplementary documents or proof
  • Engage with consumer protection bodies
  • Explore lawful measures as per relevant regulations

  • Your stated reason for the cancellation
  • Any necessary supporting papers (if relevant)
  • Your chosen method for receiving the refund

Step 3: Review and Processing

We will send a confirmation for your request within a day, evaluate it according to these refund terms, inform you of our verdict within two days, and manage approved refunds as per the aforementioned timelines.

Important Notes

  • Every request for a refund must be submitted officially in writing
  • Refunds are dealt with in £ regardless of the currency used for payment
  • Purchasing travel insurance is advocated
  • This policy can be amended after giving a notice of 30 days
  • Refunds will conform to the local tax regulations
